Program Terms & Conditions

Last updated: 24 September 2025
Provider: Madison Sanford, Accredited Practising Dietitian (APD). Telehealth across Australia.

1) Scope of service (education focus)

Fertility Fuel VIP Coaching is a 14-week, education-focused nutrition program. It provides general nutrition information, dietetic therapy within consultations, behaviour change support, and resources to help you apply evidence-based strategies.

This program is not a substitute for medical care and does not include diagnosis, medical treatment, or emergency care. Please seek advice from your GP/specialist for personalised medical decisions.

2) Who it’s suitable for

Adults preparing for IVF/egg collection or currently trying to conceive (TTC)  who want structured nutrition guidance. Due to the 1:1 dietetic consults within the program the program can be tailored to the health needs as they change including pregnancy or other chronic health condition management.

If you have complex medical needs (e.g., significant gastrointestinal disease, eating disorder, unmanaged endocrine issues), please discuss suitability first.

3) What’s included (summary)

Initial consult (up to 75 minutes) + 6× fortnightly review consults within 14 weeks.

Fortnightly 7-day meal plans with shopping lists.

Unlimited message support (Tues - Sat 9:00am - 5:00pm, AWST; replies within 48 hours).

Personalised supplement guidance and educational recommendations + access to 20% off RRP practitioner-only supplements (optional; at your discretion).

A$250 GoodnessMe pantry box, 3× Monthly Dietitian Care Packs, 3× Monthly Personalised Video Lessons, and access to PDF resources.

We can share summary letters with your treating team with your consent.

4) Program start & timeline

Cohort start: Week of 8 October 2025.

“Doors open” for 7 days after the masterclass (enrol during this window).

Your 14-week timeline begins at your initial consult. To get the most from the program, please complete all consults within the 14-week period.

5) Fees & payment options

Pay in full: A$2,490

Monthly plan: 4 × A$690 (A$2,760 total). First payment due on enrolment; subsequent payments monthly.

By selecting a plan, you agree to pay the full program fee (pay-in-full or all instalments). Failed or late payments may result in suspension of services until resolved.

6) Medicare & private health rebates (Australia)

Medicare: If you have a valid Chronic Disease Management (CDM) Plan (GP-managed care plan) and a referral to an APD, Medicare rebates may apply to eligible consults. Rebates are processed to you after payment (we’ll issue itemised invoices with provider details).

Private health insurance: Some funds provide extras cover for dietitian consults. Coverage varies by fund and policy.

Important: Eligibility, rebate amounts and number of rebated sessions are set by Medicare/your fund and are not guaranteed. Rebates generally apply to consult fees only, not to products, care packs, meal-plan creation, pantry boxes or dispensary items. You’re responsible for checking your eligibility and claiming (we’ll supply receipts). Telehealth rebates depend on current fund/Medicare rules.

7) Scheduling, rescheduling & no-shows

You’ll receive a booking link to schedule your initial 75-minute consult and fortnightly reviews. Or you are able to book within acuity scheduling as soon as purchase of the program. If an appointment time showing is not suitable, flexibility can be arranged with alternative times by emailing the Dietitian.

Rescheduling: Please give ≥24 hours’ notice to reschedule.

Late cancellations/no-shows: Sessions cancelled with <24 hours’ notice or unattended may be forfeited (counted as used). We’ll always act reasonably in extenuating circumstances.

8) Refunds & transfers

Cooling-off: Cancel within 48 hours of purchase before your initial consult is booked/attended for a full refund less any non-recoverable payment processing fees.

After kickoff: If you withdraw after your initial consult is booked/attended, we can process a pro-rata calculation:

Delivered consults charged at the standard single-session rate;

Dispatched/consumed inclusions (e.g., GoodnessMe box, care packs) deducted at cost;

The balance of the program fee is refundable if applicable.

Instalment plans: Enrolment is a commitment to the full program. If you exit early, the pro-rata policy above applies and any outstanding instalments will be reconciled accordingly.

Transfers: You may transfer your enrolment to a future intake within 6 months subject to availability (one transfer permitted).

9) Messaging support

Email/WhatsApp support is for non-urgent questions between consults. Replies within 48 business hours (Tues - Sat, AWST).

Messaging is not suitable for emergencies or time-critical medical issues. Please contact your GP, local emergency department, or 000 as needed.

10) Supplements, products & affiliates

Supplement recommendations are educational; final decisions are made by you and in consultation with your healthcare team when required

Practitioner-only products are optional; you’re free to source elsewhere. Any partner dispensary discounts (e.g., 20% off RRP) are disclosed; we may receive standard dispensing commissions where applicable, at no additional cost to you.

11) Telehealth consent & technology

By enrolling, you consent to receive services via telehealth. You’re responsible for a private space, reliable internet, and device suitability. If a session is disrupted by technical issues, we’ll reschedule at the earliest opportunity.

12) Privacy & confidentiality

We follow the Australian Privacy Principles. Your personal information is stored securely and used to deliver care, manage bookings, and coordinate (with consent) with your treating team.

We do not disclose your information without consent unless required by law or to prevent serious harm. See our Privacy Policy for full details.

13) Records & communications

We maintain clinical notes of our consults. You may request access in writing.

Email/WhatsApp are convenient but not fully risk-free; by using them you accept the usual risks of electronic communication.

14) Professional & advertising standards

Services are provided by an Accredited Practising Dietitian in line with professional standards.

We comply with AHPRA advertising guidelines. We do not make claims of guaranteed outcomes and do not publish testimonials about clinical outcomes from regulated health services.

15) Intellectual property

All PDFs, videos, and program materials are for your personal use only. Please don’t share, reproduce, or redistribute without written permission.

16) Fair use of inclusions

Physical inclusions (GoodnessMe box, care packs) ship to Australian addresses only and are for personal use. If shipping is undeliverable, we’ll arrange a reasonable alternative of similar value.

17) Limitations & liability

To the extent permitted by law, our liability is limited to the re-supply of services or a refund in accordance with these Terms. Nothing limits your rights under the Australian Consumer Law.

18) Complaints & feedback

We welcome feedback. Please email us if you have concerns; we’ll respond within 10 business days. If unresolved, you may contact the relevant professional body/ombudsman.

19) Force majeure

If circumstances beyond our control (e.g., illness, platform outages) prevent delivery, we’ll notify you and reschedule or provide a fair remedy.

20) Changes to terms

We may update these Terms from time to time. The version in force at your enrolment applies unless we mutually agree otherwise.
